Effective October 19, 2026. Segnatura Learning LLC provides reading-fluency and math-fact tutoring in Kansas City. This policy explains what we collect about families and students, how we use it, and the choices you have. It covers our free fluency checks, our tutoring, our website at segnaturalearning.com and the Segnatura Learning app.
1. Information we collect
From you, the parent or guardian:
- Your name, phone number, email address and, for billing, your mailing address
- Your child's first name and last initial, grade and school (school is optional)
- What you've noticed at home and what you'd like tutoring to help with
- An emergency contact
- The permissions you choose in the family agreement
During a free fluency check:
- Your child's timing results and short notes from the check, so we can explain them to you and compare them at your free re-check
During tutoring:
- Timing results: how many answers were correct and how many still need work, per minute
- Your child's charts, Direct Instruction lesson records and short session notes
- Attendance, and the home practice scores you log
Payments: our payment processor handles card and bank details. We see your name, the amount, the date and the last four digits of the card. We never see or store full card or account numbers.
Our website: when you book a check or use the contact form, we receive what you enter. Bookings are handled by Calendly, and our website and contact form are hosted by Netlify, which keeps standard server logs, such as IP address and browser type, for security. We don't use advertising cookies or tracking pixels.
We don't ask for medical records, health information or school evaluation reports. If you choose to share one, we keep it with your child's record and protect it the same way.
2. How we use it
- To tutor your child: plan each session, chart progress and change the plan when growth slows
- To send you the chart and a short update every Friday
- To schedule checks and sessions, take payments and send receipts
- To reach you or your emergency contact if something happens during a session
- To keep the business records the law requires
Only if you say yes in the family agreement, we also use your child's information to:
- Share a chart without your child's name to show what tutoring can do
- Include de-identified charts in research about precision teaching. Before any study is published, you'll be asked to sign a separate research consent
- Talk with the teacher or specialist you name
We never sell your information, never use it for advertising, and never use it to build marketing profiles.
3. Who we share it with
- You. Charts and notes go to the parents or guardians who signed up for the check or the family agreement.
- People you give permission to, such as your child's teacher or specialist, and only the information that permission covers.
- Service providers that help us run the business: our payment processor for payments, Google Workspace for email, Calendly for scheduling, Netlify for our website, and Apple iCloud for encrypted backups. They may use your information only to provide their service to us.
- When the law requires it, or when we believe a child is in danger. In that case we may contact the proper authorities, and we follow any reporting duty the law places on us.
- If the business changes hands, for example by joining a school we start later, records move only with this policy's protections, and we'll tell you first.
We don't share information with anyone else.
4. Children's privacy
Our students are children, so we take extra care:
- We collect a child's information from the parent, with the parent's agreement, not from the child.
- Children don't create accounts, log in or enter information into any of our apps or websites.
- We collect only what we need to tutor: a first name and last initial, a grade, and the work your child does in checks and sessions.
- You can review your child's information, have it corrected or deleted, and stop any further collection at any time.
If we ever offer an app or website that children use directly, we'll get verifiable parental consent first, as the Children's Online Privacy Protection Act (COPPA) requires, and update this policy before it launches.
5. How we protect it
- In our records, children are identified by first name and last initial.
- Student records are kept in the Segnatura Learning app on an iPad locked with Face ID or a passcode. The iPad encrypts what's stored on it, and the app locks itself after five minutes in the background.
- Backups are encrypted and stored with Apple iCloud.
- Only your tutor can see your child's records. If we add staff later, they'll see only the students they work with and will sign a confidentiality agreement.
- Real student information is never used to build or test our software. We use made-up sample students for that.
- Paper score sheets are kept in a locked file box and shredded once the results are entered in the app.
No system is perfectly secure. If a breach affects your information, we'll tell you promptly and do everything the law requires.
6. How long we keep it
| Record | How long |
|---|---|
| Free fluency check results | Until your free re-check, then one year unless you enroll. Deleted sooner if you ask |
| Charts, lesson records and session notes | While your child is in tutoring, then two years so a returning student can pick up where they left off. Deleted sooner if you ask |
| Contact details and permissions | The same as your child's records |
| Payment and tax records | As long as tax law requires, usually up to seven years |
| Charts with all identifying details removed | Longer, only if you gave permission for sharing results or research |
| Website contact-form messages | One year |
7. Your choices and rights
At any time, you can ask us to:
- Show you what we have about you and your child
- Send you a copy of your child's charts and records
- Correct anything that's wrong
- Delete your information and your child's, except records the law requires us to keep
- Change or withdraw any permission you gave in the family agreement
Send your request to timothy@segnaturalearning.com. We'll confirm it's you, then answer within 30 days. Withdrawing a permission never affects your child's tutoring, except that the founding price requires permission to share a chart without your child's name.
8. The Segnatura Learning app
The app is used by your tutor during checks and sessions to run timings, keep charts and write notes.
- It shows no ads and contains no third-party analytics or advertising tools.
- It doesn't track anyone across other companies' apps or websites.
- Student records stay on the tutor's iPad and in the encrypted backups described in section 5.
If we later add parent accounts, you'll be able to delete your account and its data from inside the app, and we'll update this policy before that version is released.
9. Changes and contact
If we change this policy, we'll post the new version here with a new effective date. For any important change, we'll email enrolled families at least 30 days before it takes effect.
